Presentation Guidelines for Accepted Abstracts

"My abstract was accepted. Now what?"

The conference will take place in Québec City, at the Québec City Convention Centre. All presenting authors are expected to register. Authors of late-breaking abstracts are expected to register at most 2 weeks after receiving their acceptance notification, otherwise they will be excluded from the program. 

All onsite presentations (keynote, oral and poster presentations) will be presented live as scheduled in the online conference program. Speakers will be present for their entire session in order to answer questions and participate in any discussions.

Presentation guidelines for oral presentations

Format

Within symposiums, oral presentations will be 15 minutes including time for questions unless otherwise specified by your session chair.

Short talks and late-breaking abstract oral presentations, will be 12 minutes, plus 2-3 minutes for questions.

Advice

We recommend that presentations be in a WIDESCREEN format as it is the optimized format, but other options will be accepted. To take full advantage of the widescreen format, we recommend that you build or convert your presentation to 16:9. We recommend using Microsoft Office PowerPoint for your presentation. 

Loading

All speakers are required to check in their presentation room to upload their presentation from your USB memory stick at least 15 minutes before the start of their session.

You can use your own computer for your presentation. However, make sure to have appropriate adaptors; no technical support will be available.

Presentation guidelines for poster presentations

Format

The WCI conference poster sessions will be held in the Exhibition Hall (room 200C). 
Poster sessions provide an opportunity for informal, interactive presentations and discussions. 

Each presenting author will receive a schedule and a poster code by email. Each author will have access to 1 side of a poster board, and each will have a useable area measuring a maximum of 48" (122 cm) high and 36" (91 cm) wide. Poster materials should not extend outside the assigned area. A label indicating your poster number will be placed on the top of your board space. Technical equipment will be available for the mounting of posters. 

Advice

Allocate the top of the poster for the title and authors as stated on the submitted abstract. Simple "Introduction" and "Conclusion" sections are helpful. When feasible, use graphs for depicting qualitative relationships and tables for precise numerical values.

Schedule

Presenters are required to be at their posters during the scheduled session received by email.

Presenters are responsible for the setting up and the removal of their posters according to the schedule:
Setup: July 22 between 8 am and 1 pm.
Removal: July 24 between 8 am to and 1 pm.

Posters not removed by that time will be discarded. The WCI organizers cannot accept liability for lost or damaged posters.

Print your poster locally

Poster printing service - 48" (122 cm) high and 36" (91 cm) wide 

We offer registered participants the option of having their poster printed and delivered to the venue. The poster will be printed - 48" (122 cm) high and 36" (91 cm) wide - and available for pick up at the registration desk. Payment must be made by credit card at the time of purchase. The rate is 75$ including applicable taxes. Please note that this is a printing and delivery service only and the organization will not display your poster on your behalf if you are not attending.

If you submitted and paid your order before or on July 12, 2024, your poster will be delivered at the venue on July 21, 2024. You may pick it up at the registration desk upon your arrival at the venue.
